Most event photography problems are planning problems, not photography problems. The photographer did not know the chief guest was arriving at 6pm, nobody told them the awards happen before the speeches, and there was no list of people who had to be photographed. Here is a checklist that prevents all of that.
Four Weeks Before
- Confirm the date and venue with the photographer. During wedding season, weekend dates in Multan go quickly even for corporate events.
- Decide on photography, video, or both. They are separate bookings with separate costs, and adding video late is more expensive than including it from the start.
- Establish the guest count. This determines whether one photographer is enough or you need two.
- Check whether you need a female photographer. Essential for ladies-only events, and availability is limited.
Two Weeks Before
- Send the full running order. Not a rough outline — the actual sequence with times.
- Name the key people. Chief guest, chairman, award recipients, anyone who must appear in the photographs. Send names with a photo if possible, so the photographer can identify them without asking.
- List the must-have shots. Ribbon cutting, trophy handover, group photo with the chief guest, branded backdrop, sponsor signage.
- Confirm the venue allows photography and, if relevant, drone flying.
One Week Before
- Share the final timings. They will have changed since the two-week version. They always do.
- Confirm arrival time. The photographer should arrive at least an hour before guests, to photograph the setup while it is still perfect.
- Identify a point of contact for the day. One person the photographer can find and ask, who knows what is happening next.
- Agree the delivery deadline. If you need images the next morning for a press release, say so now.
On the Day
- Introduce the photographer to your point of contact
- Point out the chief guest and key people on arrival
- Make sure there is a power point available near the stage
- Keep one side of the aisle to the stage clear
- Do the formal group photographs before the food, not after
- Give a five-minute warning before any unmissable moment
How Many Hours Do You Actually Need?
Organisers routinely underestimate this. As a rough guide:
- Birthday party — 2 to 3 hours, starting before guests arrive
- Corporate dinner or award night — 4 to 5 hours
- Conference or seminar — full day, 8 hours
- Grand opening — 2 to 3 hours around the ribbon cutting
- School annual function — 4 to 6 hours depending on the programme
Add an hour before the stated start for setup and detail shots. That hour produces the photographs of the decor, stage and branding while everything is untouched, and those are usually the ones used in the event report.
The Details Organisers Forget
Lighting
Halls and marquees in Multan are usually lit with warm or coloured light that tints skin tones. A professional brings their own lighting for this. If you are told none is needed, ask why.
The branded backdrop
If there is a step-and-repeat or sponsor backdrop, tell the photographer it matters and make sure it is lit. Backdrops in dark corners photograph badly and sponsors notice.
Group photos before people leave
Every event loses guests gradually. Schedule the group photograph while the room is still full, not at the end when half of them have gone home.
Same-day images
If marketing needs something for social media that night, ask for it explicitly. We can deliver a set of edited highlights within a few hours, but only if we know it is required.
Briefing Template
Send your photographer these seven things and almost nothing will go wrong:
- Event name, date, venue address and start time
- Arrival time for the photographer
- Expected guest count
- Running order with times
- Names and photos of key people
- List of must-have shots
- Point of contact with a phone number
Our event photography page sets out what full coverage includes, or send us your event details for a quote.
Frequently Asked Questions
How many hours of event photography do I need?
Two to three hours for a birthday, four to five for a corporate dinner, and a full day for a conference. Add an hour before the start so the setup and decor can be photographed while untouched.
What should I send the photographer before the event?
The running order with times, names and photos of key people, a list of must-have shots, the venue address, the expected guest count and a point of contact with a phone number.
How quickly can we get photos after a corporate event?
We deliver 20 to 30 edited highlights within 24 hours for corporate clients, with the full gallery following in five to seven working days. Same-night delivery is possible if arranged in advance.
Do you provide a female photographer for ladies-only events?
Yes. Mention it when you enquire rather than after confirming the date, because female photographer availability is more limited than general availability.
